Manage Fleet Vehicles

Add vehicle records with payload, base location, availability, route limits, volume, and specialist features.

Vehicle records feed the optimiser. The more accurately you describe your fleet, the more useful the route plan becomes. Inactive vehicles remain in the list but are not available for new planning work.

Vehicle fields

  • Vehicle name, registration, and type.
  • Payload capacity in kg and optional volume in cubic metres.
  • Available from and available until times.
  • Maximum route minutes for route duration limits.
  • Base name, base address, and base postcode.
  • Features such as tail lift, refrigerated, covered load, and crewed.
  • Active vehicle toggle.

Add a vehicle

Open Transport > Fleet

Choose Add vehicle.

Enter required details

Name, registration, type, payload, and base postcode are the core fields.

Add limits and features

Set availability, route duration, volume, and feature checkboxes where relevant.

Save the vehicle

Active vehicles can now be selected for route plans.

Review vehicles before planning

  • Check active status, availability, payload, volume, and base postcode before optimisation.
  • Confirm specialist features such as tail lift, refrigerated, covered, or crewed only when they are genuinely available.
  • Update route limits when the vehicle or driver day has practical limits the optimiser should respect.

Changing or deleting a vehicle assigned to plans can invalidate existing routes and return those plans to Draft. Review affected plans after fleet changes.
