Transport Overview

Transport Manager is separate from Trader Manager. It has its own dashboard, fleet, transport contacts, route plans, settings, optimisation tools, shared calendar feeds, driver portal emails, and job sheet exports. Use it when collections, deliveries, vehicles, drivers, warehouse visibility, or route planning are part of the event operation.

Transport workflow

Add active vehicles

Fleet records provide payload, base, availability, route limits, volume, and vehicle features.

Create reusable contacts

Save driver, dispatch, event, supplier, site and other transport contacts so plans, routes and stops can reuse the same details.

Create a route plan

Set date range, vehicles, start and finish behaviour, per-vehicle fixed departures where needed, overnight rules, and optimisation objective.

Add stops

Add drops and collections manually, choose saved site contacts where useful, or import from Current RMS if connected, including selected PDFs where they are needed.

Optimise routes

SmartGig checks location, load, timing, linked stops, and vehicle constraints.

Review routes

Make manual vehicle or stop-order changes, preview route impact, and save the review.

Assign drivers

Choose a saved driver contact on each route. If the contact has an email address, SmartGig emails the private driver portal link automatically.

Export job sheets

Generate driver-ready PDF job sheets after routes are ready.

Share the calendar feed

Let warehouse or dispatch teams subscribe to van leave times, drops, collections, van return times, and useful driver, dispatch and stop contact details for exported route plans.

Plan statuses

  • Draft plans need setup, stops, or optimisation.
  • Optimised plans have generated routes.
  • Reviewed plans have saved route review changes.
  • Exported plans have generated job sheets.

When Transport is the right tool

  • Use it when you need vehicle capacity, routes, stops, time windows, fixed departure commitments, reusable driver or dispatch contacts, route review, driver links, shared calendar visibility, or job sheets.
  • Keep simple venue directions in event logistics posts when there is no route planning or driver workflow to manage.
  • Use Current RMS import only when the source jobs already contain useful transport stop data or PDFs that the team wants to dispatch from SmartGig.

Start with Fleet. Route plans cannot produce useful work if the vehicle records are missing payload, base, and availability data.
