FAQ: What Should I Check Before Event Day?

A practical readiness checklist for participant-led events, ticketed events, stage programmes, site plans, and transport runs.

The exact checklist depends on the modules you use, but the principle is the same: confirm the records your event-day team will rely on before the day starts.

Core event checks

  • Event status is correct.
  • Venue, dates, times, and public information are current.
  • Team roles and scanner access are ready.
  • Generated documents needed on the day have been refreshed and downloaded.

Trader Manager checks

  • Participants are approved or confirmed as appropriate.
  • Payments and invoices are current.
  • Required documents are approved or known exceptions are recorded.
  • Arrival details, logistics posts, vehicles, pitch references, and entrances are current.
  • Mobile check-in has been tested.

Other module checks

  • Ticketing: public status, ticket stock, orders, attendees, refunds, QR check-in, and gate briefing are ready.
  • Stage Manager: running order is validated and published, production packs or contact sheets are current, technician links are scoped and not stale, and live view status ownership is understood.
  • Site Plan: latest layout is reviewed, exported, and shared with the right teams.
  • Transport: routes are reviewed, fixed departure warnings are understood, the shared calendar feed is enabled where warehouse visibility is needed, and driver job sheets are exported.

Run exports after final changes, not before. The best event-day document is the one that matches the record your team is actually using.
