Team access controls who can see and change your event records. Inviting everyone as an admin feels quick on day one and becomes expensive later, usually when someone changes a live payment, document decision, or ticketing setting by accident.
Before you invite someone
- You need Owner access or the manage users permission.
- The person must have their own email address. Shared logins make audit history and security reviews much less useful.
- Decide what they need to do: view records, manage events, approve documents, send messages, dispatch transport, refund tickets, or manage billing.
- Use Viewer or a custom focused role when someone only needs information.
How to invite
Open Team Members
Use the sidebar or account navigation to open the team page.
Choose Invite member
Enter the person's email address.
Choose a role
Pick a built-in or custom role that matches the work they need to do.
Send the invitation
SmartGig sends a secure email invitation link.
Track the invitation
Pending invitations remain visible so you can resend or revoke them.
Use the role name as a job description. Finance Viewer, Gate Scanner, Site Planner, and Transport Dispatcher are clearer than broad titles that do not explain the access being granted.
