Prepare QR and Mobile Check-In

Set up event-day scanner access, confirmed participant QR records, manual search, scanner app use, speed mode, and check-in safeguards.

Mobile check-in gives event-day staff a focused way to search participants and scan QR codes without giving them the full organiser workspace. It is designed for the gate, site office, or arrival desk.

Before check-in

  • The event should be Open or In Progress.
  • Participants should be Confirmed if your process requires confirmed status for check-in.
  • Participants should have access to their portal or QR details where needed.
  • Scanner users need an active login or scanner code with suitable event access.
  • Test scanning before the gate opens, while there is still time to fix access, device, or QR-code issues.

Manage scanner access

  • Create scanner codes for event-day staff or devices where your setup uses scanner-code login.
  • Label devices or scanner users clearly so access can be identified later.
  • Regenerate a code if it may have been shared too widely.
  • Revoke or delete access when a device should no longer be used.

Use the mobile scanner app

  • Normal mode is best when staff need to stop, read the result, and choose Scan next before the camera starts looking for another QR code.
  • Speed mode is off by default. Turn it on only for high-throughput gates where staff want accepted green scans to clear quickly without pressing Scan next.
  • Speed mode keeps scanning after a clean accepted result, but stops for duplicate, rejected, wrong-event, already-used, or override-needed results so the gate team can deal with the exception.
  • Manual lookup is the fallback for damaged QR codes, low phone brightness, printed tickets that will not scan, or a participant who cannot find their code.

What scanning checks

  • The QR payload belongs to the expected event record.
  • The event is part of the signed-in or scanner-code organisation.
  • The participant or ticket is eligible for check-in.
  • Duplicate, wrong-event, early, late, or already-used scans can be blocked or shown clearly depending on the workflow.

Keep at least one staff member able to use manual search. It gives the arrival team a fallback if a device, camera, battery, network, or printed QR code is not working properly.
